For more than 30 years, Rainforest Action Network (RAN) has campaigned to preserve forests, protect the climate and uphold human rights by challenging corporate power and systemic injustice through research, education, partnerships, peaceful direct action, grassroots organizing, strategic campaigns and communications. We are committed to working with Indigenous and frontline communities directly impacted by profit-driven systems of injustice. In partnership with allies from around the world, RAN challenges corporations to stop their destructive operations, respect human rights, and adopt policies that reduce their contributions to climate change. With a budget of approximately $11 million and an international staff of approximately 60 (based from San Francisco to New York to London to Asia), RAN works toward a world where the rights and dignity of all communities are respected and where healthy forests, a stable climate, and wild biodiversity are protected and celebrated.

THE POSITION 

This position contributes to RAN’s day-to-day stability and sustainability by: supporting the CFO in administrative matters and working closely with the Admin/Operations Team; ensuring that the office is neat, orderly, and set up efficiently; keeping office equipment maintained and working; keeping inventory of office supplies and filling orders as needed; greeting and welcoming guests to the RAN office; and providing general support for in-office staff and functions. The ability to interact with staff at all levels—while remaining flexible, proactive, resourceful, and efficient—is essential. A high level of professionalism and confidentiality is crucial. The ideal candidate must have excellent oral and written communication skills in English, as well as attentiveness to detail and strong project and time management abilities. In-person attendance at RAN’s headquarters in downtown San Francisco is required two days per week.

RESPONSIBILITIES 

CFO Support:

  • Supports the CFO broadly with regard to scheduling, planning, and coordinating the CFO’s inbox, calendar, and projects; 
  • Assists with managing the CFO’s inbox; in collaboration with the CFO, synthesize content, draft or answer correspondence when appropriate, and ensure timely follow up;
  • Helps to coordinate the CFO’s active calendar of appointments in alignment with established priorities, serving as both “gatekeeper” and “gateway” to create win-win situations for direct access to the CFO; 
  • Attend meetings when requested to collect agenda items, take notes, and produce minutes, as needed; 
  • Prioritize conflicting needs; handle matters expeditiously, proactively, discreetly with kindness and respect, and follow-through on projects to successful completion, often with deadline pressures; 
  • Manage end-to-end travel processes, including arranging strategic meetings, providing appropriate briefings, setting itineraries, and managing expenses; 
  • Contribute to special projects as requested and assist in various aspects of RAN’s work as requested by the CFO with precision and the utmost respect for confidentiality;
  • Administrative support of initiatives/projects led by the CFO.

Office Support: 

  • In collaboration with the development team:
    • Answers the RAN main office phone line (Google voice) and voice mailbox;
    • Triages the general RAN email inbox and forward emails to the appropriate contact;
    • Manages mail received at the office;
  • Manages office layout to ensure efficient use of space and resources;
  • Maintains office supplies and furniture inventory;
  • In collaboration with IT, manages office entry system and alarm security system;
  • Manages the cleanliness of the office in coordination with building management and/or landlord;
  • Handles office orientation for new SF-based staff;
  • Receives visitors and supports onsite meetings and events in conjunction with the meetings organizer(s);
  • Manages RAN-wide tchotchkes/swag;
  • Other related duties as assigned

QUALIFICATIONS 

  • Minimum of 3 years of experience working in a business office environment
  • Minimum of 3 years of direct experience assisting a high-level executive, ideally in a fast-paced non-profit environment; 
  • Strong organizational, time management and project management skills;
  • Impeccable administrative skills – drafting correspondence, managing email, scheduling, record keeping, etc.; 
  • Highly organized, able to plan, prioritize and multitask; 
  • Solid computer skills (Google Suite, Word, Excel, PowerPoint); 
  • Excellent judgment, ability to adhere to confidentiality as needed, demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
  • Excellent knowledge of Microsoft Office and Google Suite.

LOCATION 

This position is considered “location-specific” and must work, at minimum, twice per week in our office in San Francisco. 

COMPENSATION 

This is a full-time position with an anticipated starting salary range of $70,000-78,000, commensurate with experience. 

Benefits include 100% RAN-paid health, dental and vision insurance for the staff person and their partner/family, four weeks PTO (increases to five weeks after two years) as well as a paid winter break, and a retirement plan with a 3% employer match. Additionally, after every five years of service, staff are eligible for a 12-week fully-paid sabbatical.

RAN is a union workplace; our staff are represented by RAN Alliance for Workers’ Rights (RAWR) via CWA 9415. This position is considered a confidential position and excluded from the unit.
